[RC] Ride Mgmt costs & fees - Lynne Glazer

Just some noodling about this year's admittedly not-a-no-frills ride.

    155 riders:
33 non-AERC members, a new record (last year was 32). That means I owe AERC $10 for each one, which just goes into the General Fund, I understand. $330. Thanks to Mike and Russ for providing the rider/horse AERC lookup, which ensured I snagged the non-members and found the numbers for members who couldn't recall theirs.

    California gets $3 x 155 riders in drug fee money, let's see, that's $465.

$4 per starting rider for AERC. That's $620.

    So $1,415 in fees.

Plus $20 each in memberships 2 of the 4 vets for whom I agreed to pay for their membership.

$1,455. I let a friend use her mileage-plus card to pay the AERC fees and pay her by check. ;-)

Just thought riders might want to know where some of the rest of the entry money goes. Approx. $2,700 in awards after IAHA subsidy, $1,400 for basecamp, $1,500 in vets, $2,200 for the catered meals, $500 in rider food, $450 for porta-johns, $150 in horse feed, $350 in trail marking supplies, $280 in $10 discount coupons for last year's non-completers...we give jrs and ride mgrs half price. That doesn't include misc. expenses, but for you math-phobes, that's $10,985. Of course my administrative labor is not included.

Our entry fees are $85 and $75. Horses that don't vet in get full refunds, only a couple of those. 17 other pre-paid folks had to cancel, they all got full refunds. I don't cash the checks until the week before the ride, to facilitate refunds before the last week, which means I lay out a bunch of cash up front.

Not exactly a profitable venture, but it doesn't lose money either, which was the original intent. The vast majority of riders appreciate what it takes to put on a ride, and are very nice to mgmt and volunteers. The rest of you might think twice before yelling at an out-timer.

    Happy (well-marked) trails!

    Lynne
